Delete your account
You can request permanent deletion of your Tots Portal account and the data tied to it at any time. This page explains how, what gets deleted, and how long it takes.
Option 1 — Delete from inside the app
The fastest way is to delete your account directly from the Tots Portal app you use:
- TotSnap (parents): open the app → Profile tab → tap Delete account at the bottom of the screen → confirm.
- TotsHub (teachers and school admins): open the app → tap the settings gear on the home screen → Account → Delete account → confirm.
You will be signed out immediately. Your deletion request is queued and processed within the timeframe below.
Option 2 — Email us
If you cannot sign in to the app, email totsportal@gmail.com from the address registered to your account with the subject “Delete my Tots Portal account”. Include:
- The app you use (TotSnap or TotsHub).
- The email address tied to your account.
- For school admins: the school name and confirmation that you are an authorized administrator.
We will verify your request before processing it and may ask one follow-up question to confirm you are the account holder.
What gets deleted
When you delete a parent account (TotSnap):
- Your sign-in identity (Google or Apple link) is removed from our authentication system.
- Your guardian profile, the link between you and your child(ren), and your notification preferences are deleted.
- Messages you sent to teachers are anonymized so the conversation history remains readable for the school, but your name and contact details are removed.
- Your child's school record, attendance history, and photos are not deleted — those belong to the school. Contact the school directly if you want them removed.
When you delete a teacher or school admin account (TotsHub):
- Your sign-in identity is removed from our authentication system.
- Your teacher profile and role assignments are removed from the school.
- Records you authored (attendance entries, activities, messages) are anonymized so the school's history stays intact, but your name is removed.
- If you are the only administrator of a school, we will contact you first so you can transfer ownership or confirm deletion of the entire school.
What we keep, and why
For legal and compliance reasons, we retain a minimal subset of records after your account is deleted:
- Audit log entries that reference the deletion event itself (kept for 1 year, then permanently deleted).
- Anonymized billing or invoice records required by Philippine tax law (kept for the statutory period, typically 10 years).
- Backups containing your data are overwritten on our normal rotation schedule and fully purged within 30 days.
How long it takes
Account sign-in is revoked immediately when you submit the request. Full deletion of your data from our active systems is completed within 30 days. Backup purge completes within 30 days after that.
Deletion is permanent and cannot be undone. If you change your mind, you can email us within 7 days of submitting the request and we will try to cancel processing — but once your data is purged, we cannot recover it.
